WHITCHURCH PHOTOGRAPHIC SOCIETY.

Minutes of the 48th Annual General Meeting Tuesday 27th April 2010

1 The chairman welcomed all attending and opened the meeting. He spoke of the sad loss of two long standing and valued members , Ifor Richards and Ken Mercer, and stressed the importance of recruiting and welcoming new members

3 The minutes of the 47th meeting were approved. Prop HH Sec FC

4 There were no matters arising from the minutes

5 The treasurers report was given by JB. The problem of venue hire cost was the main topic . Current venue will be 33 meetings at £20.00 for the next season. Suggestions came from the floor that further investigations be made to find an alternative venue
A proposal was made by IO that we put surplus deposit account funds into an I S A or similar account to maximise interest
The website renewal fee of £33-00 was paid and donated by ML & BL thanks were prop by JE and Sec by HH
The importance of “Door Money” revenue was raised by AB who suggested a signing in system and a return to normal door fees with optional raffle on nights that we welcome visiting clubs
Acceptance of the report was Prop FC Sec BJ

6 The competition secretary’s report was given by FC
After listing the clubs domestic and inter club results FC thanked BL for her help with PDI. presentations
Acceptance was Prop by HH Sec by IO

7 The syllabus secretary’s report was given by JB After detailing plans for next seasons activities** suggestions came from the floor to reduce competitions requiring outside judge costs and to consider restricting entries for inter club images to two per author.
Acceptance of the report was Prop by AH and sec by BL

8 The chairman began his report by thanking all the officers and committee members for their services throughout the year. He emphasised the need for increased effort in recruiting new members, and fund raising. On this he said he would be “ out and about with the begging bowl” during the summer break and approaching local main employers for sponsorship

9 The election of officers was made :-

Thanks were proposed to PS for signing off the balance sheet

10 The subject for the “set subject” competition was decided as “INDUSTRY” Prop by ML Sec by AH

11 The arrangements for the annual dinner were confirmed as being held at The Castle on Tuesday May 4th

12 A very generous offer of a half page advert, paid for, in the Whitchurch
Gossip was made by DT. A proposal of thanks was made by ML Sec by JE

13 An equally generous offer was made by HH in the form of a collection of surplus images to be sold towards club funds. A proposal of thanks was made by ML and Sec by JE

14 A written proposal was entered by HH that “Volunteers be called for to form a team of about four persons who would be prepared to be trained to operate the computer keyboard and digital projector in such a way that the clubs various digital competitions can be efficiently conducted without requiring one or two persons always to be available for the task” After discussion four members volunteered HH, PS, DT & AH

15 At the end of a lively and interesting evening the chairman thanked everyone
for attending and closed the meeting

Addenda

A proposal was made by BL that a master file be opened on the clubs computer to contain all digital images for the entry into the clubs comps.
This will be accessible to all full and associate members who wish to submit an image for consideration by the selection committee. A mobile copy of this file will be kept to be used at the selection committee meetings and the preparation of comp file. Acceptance proposed by ML second by FC
